Workplace compliance – How do you manage your scheduled employees compliance?

Deputy has had for a long time the ability to record skills/qualifications against an individual however Deputy lacked any real compliance by having no checks and balances against the qualification entered into the system.

We now have a game changer…..Deputy now includes the ability to not only register the skill/qualification you can now enter details around the qualification including expiry dates so you can be notified.

So, what’s new exactly?

  • Manage Expiry – Set expiry dates so you manage training that requires renewal. Also, if training expires, Deputy will automatically warn you
  • Upload a File – Keep full documentation/photo/certificate of all your training. So if you are ever audited, it’s there in a few clicks!
  • Enter a Comment – Leave a quick note to provide additional information about your training requirements

A valid drivers license

To help with the new elements in training, we’ve also introduced new icons to keep you aware
Here’s what each of them mean:

The ‘ticked’ icon means that the training requirement is still valid, and has not yet expired.

The ‘paper clip’ icon indicates that there’s a file uploaded for this training requirement.

The ‘speech bubble’ icon means that there’s comment attached to this training requirement.

The ‘warning’ icon means that the current training module has already expired.

How does it work?

Start by editing your employee’s profile and scrolling to the Job Information section. Then, add a training requirement and click on the ‘Edit’ icon to add further details.

How can I get better employee and contractor compliance on sign in

While many customers are loving Deputy we are getting asked more frequently for the ability to manage the compliance of individuals including employees and contractors. If you’re managing employees and contractors compliance manually you may want to consider integrating Deputy with a compliance management system like WhosOnLocation.

Allow employees, visitors and contractors to complete on site compliance induction before coming on site for the first time, renew onsite induction weekly, monthly, annually or at a time that fits your needs.

WhosOnLocation can also receive all of the employee sign in & out information for the purpose of evacuation management bringing together employee, contractor and visitor presence on site.

3 more reasons to have Deputy Scheduling with Xero

Deputy continue to move forward faster than any other scheduling company on the globe. Deputy are moving so fast the gap between Deputy and other products in the market is widening, no competitor is keeping pace.

What about these Xero integration gems….

1. Payslip export

Along with exporting to Xero timesheets, you can now export to Xero Pay Slips directly! This means you can skip the timesheet approval process in Xero and go straight to payroll. It’s perfect for when there are elements of pay that aren’t just “Hours”. Eg. distance travelled, allowances, tips etc. If you want to track wages across tracking categories, we recommend using Timesheet export.

2. Auto update

Exactly one year ago Deputy launched Xeroshare. This site allows Xero customers (even those not using Deputy) to utilise industry rates in their Xero account. Deputy can read the rates directly in Xero which allowed configuring overtime and allowances using our bracket notation. There was just one little annoyance, you had to keep syncing the employees in Deputy. Today we’ve introduced a minor update, now you don’t have come to Deputy to update/sync the rates again. Simply setup “Updated Employee” -> “Sync Pay Rates” integration under Location Settings -> Add-Ons -> Xero.

drum roll……..and now for the big one….

3. Xero payroll for the UK

After working closely with the Xero Payroll team Deputy are proud to be the first add-on partner to release an integration for Xero Payroll UK. This will enable Deputy customers to streamline business processes and further reduce their administrative burden. Deputy already enriched the payroll process for thousands of Aussie and US businesses. Now Deputy are delighted to do the same for our customers in the UK.

Deputy partners in the UK are notably excited about what this means for their clients, already Deputy are hearing statements such as “This integration helps us to improve the efficiency of businesses across the UK, it’s a real game-changer for business operations today.”

The Deputy team are outstanding, have insight beyond the next 20 scheduling companies combined globally. I remember sharing with a partner more than 10 years ago that cloud was the way to go but they insisted on staying with traditional time and attendance. The world has changed, the game has changed and employee scheduling has changed forever thanks to Deputy.

Deputy is now in more than 70 countries around the world.
