The Royal Botanic Gardens expand employees scheduling with Time & People

This week after a successful pilot across 5 locations that make up the Botanic Gardens in and around Sydney and the Blue Mountains from 2018 with 120 employees The Botanic Gardens have expanded the employee scheduling software to assist with staff rosters by adding 80 specialist teachers to the system. Prior to going digital everything was manual, time sheets, scheduling by spreadsheet and telephone calls, everything was time-consuming and delayed due to the way manual systems work. Moving forward employees will have a lot more freedom to organise schedules with less telephone calls and text messages.

  • Pre register for leave
  • Advise unavailability into the future automatically tied to the schedule
  • See their schedules into the future
  • Swap shifts when needed – approved by supervisors.

Employee scheduling – setting up permissions to manage what people can see

As systems get bigger spread across multiple locations, divisions, states and countries the permission that gives employees access to data in a data set can be found wanting. Some systems today have limited functionality for example you can have a supervisor and an employee, typically in this scenario multiple supervisors have access to supervisor and they can all see each others data. Sometimes it is beneficial to have the ability to create 3 levels of supervisor.

Typically when we talk to customers they need more than 3 or 4 permission options like super administrator, administrator, supervisor and employee

Supervisor 1 role can include allowed to schedule, unable to see costs, can only schedule 2 departments
Supervisor 2 role can include allowed to schedule and allowed to see costs, can schedule all departments.
Supervisor 3 role
can include ability to manage the schedule at one location only
Supervisor 4 role can include allowed to see costs, schedule across all locations

Can you sign into scheduling software without scheduling?

This is a great question and one that pops up a lot, customers vary, many need to schedule every person that is working, some need to schedules some staff while others just need to sign in and sign out without scheduling. The most common place I find where customers want employees to sign in and out without a schedule is when labour costing is involved. Labour costing for employee attendance can be 1 of 2 things.

Option 1 – labour costing 

Sign in and out against the job. Many customers need to know how many hours are spent on a job, if you have multiple jobs and the jobs are long term you can schedule easily. If your jobs are short term or you have limited control over the start and finish time of the job then you need to be able to have the employees sign in and sign out without scheduling.

Option 2 – labour costing with cost codes

Not as popular as labour costing against the job but for the customers that need the data it is very easy to create an easy way for the employee to sign in against the job and the cost code, for example Job 1 – painting or Job 1 – cleaning.
