Template Rosters – Everyone needs this

WE have all been waiting for templates and Deputy has delivered, now you can build that template for the public holiday, xmas period etc and save yourself a mountain of time every time.

Deputy’s promise to you has always been to act as your trusted second-in-charge, and to give you back time to do the things you really love* and you’re really good at. With our latest release, we’re absolutely delighted to hand you back a ton of your valuable time.

You can now save and load schedule templates. This means you can build a schedule for a day or a week, (or just go to an existing schedule), and save it as a template for future use.

This is similar functionality to Copy Shifts, however a saved template is always easily accessible – you don’t have to go back and forth to find a schedule you want to copy. You can quickly pull up the template for Summer Week, Busy Week, Easter Sunday, whatever. With one click, you can load it to a blank day/week (actually, it doesn’t even have to be blank – the template shifts will be simply added to any existing shifts), tweak and trim if you like, and publish.

Once you have created a schedule, everyone in your team who can schedule at the location(s) it covers can access and load that schedule. You can create master templates, and ask your Location Managers and Supervisors to use them.

How late do your employees run every day?

Deputy has discovered with the use of Big Data that at least 30% of workers across Australia’s major cities run late for work every day. That is almost 1 in 3 workers running late every day.

What does this cost your business?

The only way Deputy could gather this data was by creating an electronic scheduling program that made for easy management of rosters where employees can sign in and out each shift electronically. We all know what happens when an employee is running late on time sheets and turns up at 8.10 when they are due to start at 8.00. The employee unless challenged will always write 8:00 as the starting time even through they are running late.

Going electronic with Deputy removes all of these issues where the employee can only sign in and out at the time they arrive and leave. Deputy can also take the GPS position of the employee if they sign in from their own phone.

Deputy had the opportunity to use what many today call Big Data. More than 400,000 employee shifts were used to create the data, giving statisticians more than enough information to confirm 30% to be an average nationally.

Industries worst impacted by lateness included Construction, Hospitality and Healthcare, while retail fared better than all three. Maybe retail employees are more afraid of losing their jobs?

The average late start time ranged from 8 minutes and 4 seconds to 9 minutes and 24 seconds. I wonder how the 60% of employees that always arrive on time feel about 40% of their workmates turning up late?

Deputy release extension lab – now you can even have more with your scheduling

Speeding up the time spent scheduling then managing time sheets for any business with more than 50 staff is right up there on top of the wish list. Deputy have released a bag of goodies that now make Deputy more efficient than ever before….Let some of these options loose in your data set giving yourself more time to do other work.

1/ When adding an employee you can now add automatically to all locations, perfect for every company that has casual labour and multiple locations like security companies, labour hire and more.

2/ Calendar reminders, you can now set work related reminders within Deputy, remind yourself about birthdays (post publicly for all to see in the news feed)

This is one of my favorites, we have all wanted this for a long time even before Deputy was invented.

3/ Send a notification to an employee who has forgotten to clock off. One area all payroll people spend way to much time is chasing non compliant employees, missing time sheets, missing tax forms, missing super forms, we should not have to chase people for these basic requirements.  Employees will get sick of getting the messages reminding them to sign out as they forgot making employees more compliant.

4/ Another cracker….send a message to an employee just before the start of shift to remind the employee to sign on, the more employees sign in and sign out the less work payroll has to do 🙂

Open shifts have made scheduling easier than ever…another of my favorites

5/ Open shifts allow keen employees to pick up extra work, just publish your open shifts allowing the employees skilled to fill the roll to take the extra shifts. Managers can now get an automated message when an open shift has not been filled, you set the amount of time before the shift is due to start to get your reminder, set 2 hours and you will get a notification 2 hours before the shift is due to start letting you know the shift is still open.
