Managing unavailability in retail

How you manage unavailability today could be a mixture of text messages, Facebook posts, spreadsheets, notes on your PC and even writing on your hand.

Do you feel like this some days? Especially when you have the schedule all sorted and another person calls in sick!

The guy behind I reckon has seen this before! He also looks like the NCIS guy!

28 day rotating roster 8 hour or 10 hour days? Which one works better?

If you have ever worked one of these schedules or had to organise staff around one of these schedules you will understand the amount of work that goes into keeping the schedule in place. I have seen two common types of 28 day rotating rosters.

  • 28-day rotating roster 8 hour day
  • 28-day rotating roster 12 hour day

Each of these schedules has different requirements and are both designed for a 24/7 operation.

An example 12 hour schedule for rotating 28-day roster – The most common approach is detailed below for a 12-hour schedule, each employee will work an average 42 hours per week across the 4-week cycle.

A Team –  DDOODDD-OODDOOO-NNOONNN-OONNOOO
B Team –  NNOONNN-OONNOOO-DDOODDD-OODDOOO
C Team –  OONNOOO-DDOODDD-OODDOOO-NNOONNN
D Team –  OODDOOO-NNOONNN-OONNOOO-DDOODDD

Benefits of a 12-hour rotating roster over 28 days include

  • An employee does not work more than 3 days in a row
  • You get a 3-day long weekend every second weekend
  • If you take two leave days on a 2-day working week you get 7 days off

Who would not enjoy these benefits, the only real downside is one of the weeks you will work 62 hours.

The major downside of an 8 hour day rotating 28-day roster is you can work seven weeks before getting a weekend off. the world we live in now is 24/7 but who would only want one weekend off every 7 weeks? How could you play sport or watch the kids play sport? This would be a tough 28-day roster to handle, I know it would not work for me. On top of this once a month you will work 7 nights in a row.

George Calombaris rips $7.8 Million from his employees

Posted on: July 19, 2019 | Categories: award interpretation rostering scheduling Time & Attendance

George Calombaris has been caught out with poor systems. While his OCD applied nicely for preparing food that skill did not transfer to admin. Poor systems for employee timekeeping and payroll has led to this situation where George has shortchanged staff $7.8 million dollars. Did he do this knowingly?

How could George have avoided this situation?

The answer is simple, with a timekeeping system designed to stop these issues from occurring, with built-in awards it is not possible to short pay employees. Don’t get caught out in your restaurant, if your using timesheets or spreadsheets it is time to put an electronic system in place.

  • Schedule employees easily from your PC or mobile phone
  • Awards built-in
  • Remove manual data entry integrate with payroll including Xero, Quicken, MYOB and many more

I believe George has now paid all the money back, copped a fine and also needs to offer his time to complete some adds.

The Royal Botanic Gardens expand employees scheduling with Time & People

This week after a successful pilot across 5 locations that make up the Botanic Gardens in and around Sydney and the Blue Mountains from 2018 with 120 employees The Botanic Gardens have expanded the employee scheduling software to assist with staff rosters by adding 80 specialist teachers to the system. Prior to going digital everything was manual, time sheets, scheduling by spreadsheet and telephone calls, everything was time-consuming and delayed due to the way manual systems work. Moving forward employees will have a lot more freedom to organise schedules with less telephone calls and text messages.

Employees can from their mobile device

  • Sign in and out each day.
  • Pre register for leave
  • Advise unavailability into the future automatically tied to the schedule
  • See their schedules into the future
  • Swap shifts when needed – approved by supervisors.
  • Publish an open shift where the next equally skilled person can take the shift – approved by supervisors.

The Education team do an amazing job of educating thousands of students every year. From the Botanic Gardens website…..Students at all levels will love our practical gardening experiences, outdoor learning activities and the exciting, immersive exhibitions at our new living art gallery, The Calyx. Our team of highly-skilled educators will engage your pupils with the curriculum via hands-on learning.

The Royal Botanic Gardens Society is made up of three key locations, Royal Botanic Gardens Sydney, The Australian Botanic Garden Mount Annan, Blue Mountains Botanic Gaden Mount Tomah. There are many other aspects to the Royal Botanic Gardens including the Plant Bank with over 10,000 collections and more than 100 000 000 individual seeds.
