Ask Questions to get the most accurate answers when selecting an employee scheduling software for your business

I received this question recently…

I have already evaluated Deputy. According to my staff I am unable to run two rosters (one for Kitchen and one for Floor) in my restaurants without having two ipad time clock kiosks at each site. The alternative was to have the kitchen and floor rostering combined so that I can have just the one ipad kiosk on site. It is a strange restriction that your competitors have managed to avoid.

After speaking with the customer and getting a full understanding of the issue we discovered….That this was simply a misunderstanding as the software is more than capable of handling unlimited departments on a single iPad kiosk.

The most popular way for employees to sign in & out globally with Deputy scheduling software is to use existing smart devices. Most employees today either have an iPhone or an android phone, each employee can use their own phone, download the Deputy app and start signing in and signing out. Employees can also see their own schedule, apply for leave, or simply build in future availability so that the person completing the schedule is automatically notified of the employee’s intentions.

Are you still managing staff schedules manually?

Does this sound like your business?

“Before we moved on to Deputy, employee scheduling was a predominantly manual task and incredibly time consuming. Each week, my assistant manager had to lock down 24-hour schedules with the team whose flexibility – particularly the students – was always fluid. Assigning shifts, communicating changes and filling any unassigned shifts was highly manual. And managing around their constantly changing availability meant endless calls and emails to assign and confirm shifts.

frustrated on phone

You can move away from all of these issues with electronic staff scheduling.

Imagine not picking up the telephone to call your casual workforce to ask them what days they can work next week. Imagine that your staff populate their own availability in advance so that when you go to build the weekly schedule the next week you already know who is available and who is not.

Imagine making a  change to your staff schedules and not having to pick up the phone trying to get in contact with all of the staff that the changes have impacted. Imagine that you click a button and the information with all of the changes automatically goes to your employees smart phone.

Imagine having a shift become available not have to sit on the phone calling multiple employees until you found one employee to say yes they could cover the shift. Imagine creating an open shift that would be available for all employees who qualified for the shift to be taken by the first employee to accept the open shift without you making one phone call.

Communication is key when scheduling many employees across multiple locations

Posted on: July 15, 2015 | Categories: cloud rostering rostering scheduling StaffRosters Blog

We all know now that Deputy is the global leader when it comes to employee scheduling. But what about communication?

The communication module has recently been updated and you can now not only post messages and create group messages to open up communication but you can also include important files that need to be shared across your employees. If you’re a small business with 10 employees working out of a single location some of these tools may not have the same benefits that a company with hundreds of employees and multiple locations will gain.

Imagine being able to share information with all of your employees across multiple locations across the country or around the world at exactly the same time. Deputy has made this possible with the recent communication updates to the news feed.

Key communication tools when scheduling employees include pushing the schedule out to employees directly to their smart phone. If you are still running your schedules with spreadsheets is time to come into the 21st century. How many telephone calls do you make each week communicating your schedules to your employees? If you are spending 10 minutes a day making these calls then it is time to go electronic.

Imagine being able to share information and ask questions that employees can confirm electronically. These simple features completely open up communication between management and employees when spread across multiple locations. Communicating with your employees has simply never been easier.

I’ve spoken to customers in the past who have used Facebook as a communication tool and it is a great tool and until recently I would have suggested to a customer to continue to use Facebook the way they do. However with these recent changes to the Deputy scheduling software it is now time to move away from your spreadsheets and Facebook and bring everything together into one system.

Imagine being able to send a message to one single employee, sure you can do this with your mobile phone and send a text message however this often has a cost associated with it and of course the message is lost in the future or deleted. Communicating within your scheduling software gives you the ability to be able to go back into the past and see information that was communicated between management and employees without having to go back through your mobile phone and sort thousands of messages just to find one.
