You can now save and load schedule templates. This means you can build a schedule for a day or a week, (or just go to an existing schedule), and save it as a template for future use.

This is similar functionality to Copy Shifts, however a saved template is always easily accessible – you don’t have to go back and forth to find a schedule you want to copy. You can quickly pull up the template for Summer Week, Busy Week, Easter Sunday, whatever. With one click, you can load it to a blank day/week (actually, it doesn’t even have to be blank – the template shifts will be simply added to any existing shifts), tweak and trim if you like, and publish.

Once you have created a schedule, everyone in your team who can schedule at the location(s) it covers can access and load that schedule. You can create master templates, and ask your Location Managers and Supervisors to use them.

1. Payslip export

Along with exporting to Xero timesheets, you can now export to Xero Pay Slips directly! This means you can skip the timesheet approval process in Xero and go straight to payroll. It’s perfect for when there are elements of pay that aren’t just “Hours”. Eg. distance travelled, allowances, tips etc. If you want to track wages across tracking categories, we recommend using Timesheet export.

 

2. Auto update

Exactly one year ago Deputy launched Xeroshare. This site allows Xero customers (even those not using Deputy) to utilise industry rates in their Xero account. Deputy can read the rates directly in Xero which allowed configuring overtime and allowances using our bracket notation. There was just one little annoyance, you had to keep syncing the employees in Deputy. Today we’ve introduced a minor update, now you don’t have come to Deputy to update/sync the rates again. Simply setup “Updated Employee” -> “Sync Pay Rates” integration under Location Settings -> Add-Ons -> Xero.

3. Xero payroll for the UK

After working closely with the Xero Payroll team Deputy are proud to be the first add-on partner to release an integration for Xero Payroll UK. This will enable Deputy customers to streamline business processes and further reduce their administrative burden. Deputy already enriched the payroll process for thousands of Aussie and US businesses. Now Deputy are delighted to do the same for our customers in the UK.

When talking to potential customers from the recruitment industry I get told I don’t understand the pressures of being a consultant and managing candidates 24 by 7 in some instances with no visibility, customers calling me to tell me an employee has not turned up before I even know about it.

The good news here is I worked in this industry for more than 10 years in a previous life, I had the 24 by 7 phone. Managing people in high pressure situations was always tough, information at our fingertips often comprised a data base of names or a printed spreadsheet of names. We all did the same thing, we all got on the mobile phone and started dialing, I could spend hours some mornings just ringing numbers hoping to find the candidate required to fill the position. Sometimes you got lucky and got a yes from the candidate in the first few calls, other times 20 calls later you were still looking to fill the position.

I remember days where I needed 10 people to fill 10 positions, I could have been on the phone for three hours just getting these positions filled, if you have ever worked in this industry or ever been a customer of a recruitment company supplier I know you will relate.
